BuyerForesight Events Concierge (BEC) – FinOps Manager

Summary

Full-Time Position – Kolkata, Bengaluru

We are seeking an experienced Concierge FinOps Manager to join the BuyerForesight Events Concierge (BEC) Team. The BEC team plays a crucial role in delivering exceptional experiences and enhancing client satisfaction at every event program hosted by BuyerForesight. As a Concierge FinOps Manager, you will be responsible for improving both cash-flow and margins in BuyerForesight’s operations. The ideal candidate will have prior experience in creating and managing a detailed P&L per event, with a particular focus on creating and enforcing cost controls with global vendors.

Key Duties and Responsibilities: (other duties maybe assigned)

Contract Management

  • Oversee all contracts and agreements related to concierge services, including vendor contracts, partnership agreements, and client/vendor contracts
  • Negotiate contract terms and conditions to ensure favorable outcomes while maintaining strong relationships with partners and vendors • Ensure proper documentation, execution, and adherence to contracts in compliance with legal and regulatory requirements of all global  BuyerForesight entities
  • Monitor contract performance and address any issues or discrepancies in a timely manner

Pricing & Spend Optimization

  • Analyze and create spend reports for each region and event type
  • Leverage spend reports to create regional rate cards for average spend on events specific to regions and types
  • Create seasonal rate charts using the same details
  • Develop rate cards and regional pricing strategies based on delivered Concierge projects and experiences

Payment Planning & Financial Performance

  • Manage all payments and processes related to concierge services, including vendor payments, client receivables for reimbursements, and audience reimbursements
  • Create payment plans, schedules, and Payout plans, considering company regulations, payment terms, funds, and vendor priorities
  • Ensure compliance with relevant laws, regulations, and internal policies governing payments and financial transactions
  • Implement controls and procedures to mitigate risks associated with fraud, errors, and unauthorized transactions

Partnerships

  • Create and manage vendor partnership with venue, transportation and other logistics providers
  • Plan and onboard long-term partners, such as travel providers, vendors, airlines, hotels, and transportation providers
  • Negotiate regional or global contracts and agreements with travel partners to secure favorable terms and pricing
  • Identify and establish travel partnerships and tie-ups to expand travel options and benefits for employees, clients, and attendees
  • Collaborate with travel partners to develop exclusive offers, discounts, and loyalty programs for concierge services
  • Cultivate and maintain partnerships with hotels and accommodation providers to offer a diverse range of options for travelers
  • Negotiate preferred rates, room blocks, and amenities for concierge clients to ensure cost-effectiveness and comfort

Requirements

  • 8-10 years of experience in financial operations at travel/event management/hospitality services or B2B service providers
  • Ability to work with global requirements in multiple time zones, multi cultural teams, and high-pressure environments
  • Proficiency in Google Workspace/Drive, Zoom Conference, and Microsoft Office
  • Analytical mindset with the ability to form insights based on data
  • Strong skills in communication, negotiation, problem-solving, flexibility, adaptability, time management, and discipline
